Sync Invoices

Sync new ConnectWise invoices into QuickBooks Online with the Sync Invoices tool (Beta).


Alternative Payments offers the Sync Invoice tool that detects and syncs invoices which are created in ConnectWise but not yet synced to QBO. The Sync Invoices tool allows you to select which invoices to sync, view a history of synced items, and trigger updates only when you're ready.


Note: If you’re using an existing sync tool like WiseSync, this will not result in duplicate data. Our system flags the invoices as synced to ensure there is no overlap.

To ensure this data is synced correctly, you need to grant the following additional permissions in your ConnectWise security role settings.

Steps to update your permissions in ConnectWise:

  1. Go to your ConnectWise Setup Tables and locate the security role associated with the integration.

  2. Under the Time & Expense matrix, expand the accordion and set the following permissions:

  • Expense Report Entry: None, None, None, All

  • Time Entry: None, None, None, All

  1. Click Save.

Once permissions are updated, return to your Alternative Payments dashboard and follow these steps:

  1. Go to the Integrations section

  2. Click the three dots ... next to the ConnectWise integration, and select Manage Filters.

  1. Click Edit or import filters

  2. Click Save

You do not need to make any additional changes. This will trigger a full re-sync, and historical invoice line items tied to Services and Expenses will be populated automatically.


How to Use the Sync Tool - Manual Sync

  1. Log into your Alternative Payments Partner Dashboard

  2. Navigate to Sync Invoices From the sidebar, select "Sync Invoices (Beta)"

  3. View Unsynced Invoices View new invoices found in ConnectWise that haven’t yet been synced to QuickBooks Online in the "Unsynced" tab

  1. Select Invoices to Sync Choose the invoices you’d like to sync and click the “Sync invoices” button at the bottom of the screen.

  1. View synced invoices

    View a record of synced invoices in the "Previous Syncs" tab in your Alternative Payments dashboard.

Note: The synced batch will also appear in the "Batches" section of ConnectWise.

Automatic Sync

You can customize your Sync preferences to be either Manual or Automatic.

To set up Automatic Sync in the Sync Tool, click on Preferences at the top, then select the Automatic option.

You can also choose how frequently the sync should run — for example, every hour or once a day — based on your preference, as shown below:
