Routine Workflows
Do a job once in chat, save it, and run it again with one click. A Routine Workflow takes the actions for you, and you approve every one.
Some jobs repeat every week: find the overdue invoices, keep the customers you can charge, charge them. A Routine Workflow turns that job into saved steps. Each time you run it, Alti works through the steps while you watch and stops for your approval before any action happens.
Need a report instead, with no actions? Use a Routine Report.
Workflows worth saving
Charge what's overdue
List invoices more than 7 days overdue, keep only customers with a payment method on file, charge those invoices.
Chase missing payment methods
Find customers with no valid payment method, email each one asking them to add one.
Remind before the due date
Find invoices due in the next 7 days, send each customer a reminder.
Grow Auto-Pay
Find customers who have paid on time for the last six months, enroll them in Auto-Pay.
Create a Routine Workflow
In your Routines list, Routine Workflows carry a Takes actions marker.
Run a Routine Workflow
Stay with it while it runs. Routine Workflows run only when you start them, and cannot be scheduled. Each confirmation card expires after a few minutes. While a workflow is running, the chat box only accepts approve, decline, or Stop.
While it runs
A step that finds nothing moves on. Alti says nothing matched and starts the next step.
Invoices that changed are left off. Invoices paid or voided since you saved the workflow never reach a confirmation card.
One run at a time. If a workflow is already running, clicking Run again tells you a run is in progress.
Daily limits apply. If a daily action limit is reached, the run stops. The limit clears the next day.
When a run stops
Stop while a card is showing and that action counts as declined.
Stop after an action was submitted, such as a charge, and it is not cancelled. The run shows as checking until Alti knows whether it went through, then stops.
A stopped run is finished. Running it again starts at step 1, and steps that completed last time run again. Check the results before you rerun it.
You get an email if it ends without you. If a run stops because a card expired, a daily limit was reached, an action failed, or something went wrong on our side, the person who started it gets an email listing which actions completed. There is no email when you click Stop yourself.
Every run is kept. Open a run from the workflow's history to see each step's outcome and each action's result, such as completed, declined, expired, or failed.
What a workflow can and can't do
Can: charge invoices, create payment requests, email customers, schedule reminders and summaries, archive records, mark invoices paid, and set up Auto-Pay.
Can't: refund payments, create invoices or customers, tag or untag customers, submit feature requests, or create other routines. If you try to save one of these steps, Alti removes it and tells you why.
Limits
Up to 10 steps per workflow, and up to 5 of those can take actions.
20 routines per person, Routine Reports and Routine Workflows combined.
No resume. A stopped run doesn't pick up where it left off. Running it again starts at step 1.
Who can do what
Members, Sub-Admins, and Administrators can create Routine Workflows.
Approving an action follows your access level. Charging, payment requests, customer emails, reminders, and Auto-Pay need an Administrator or Sub-Admin. See Access Levels and What Each Role Can Do.
If your role can't approve what a workflow does, Alti tells you before the run starts.
A workflow runs as the person who clicks Run, under their access level, not as the person who created it. Every action is recorded with who approved it and who created the workflow.
Good to know
Saved steps don't change. To change a workflow, do the job again in Alti and save it as a new one.
